Work Order KPIs Every Multifamily Operator Should Track

Overview

Work order KPIs should show whether maintenance requests are moving quickly, being resolved durably, and using the organization’s capacity well. Counting open and closed work orders is a starting point. The measures below explain the process behind those totals.



The Core Work Order KPIs

Time to Acknowledgment. Measure how quickly the resident or requester receives confirmation. This reflects whether the intake channel is reliable and reduces uncertainty before assignment.

Time to Assignment. Track the period between request creation and clear ownership. Long assignment time may indicate incomplete intake, unclear responsibility, coordinator capacity, or weak routing rules.

Time to First Visit. This shows how quickly physical attention reaches the issue. Segment by priority and do not combine emergencies with routine work.

Total Completion Time. Measure from request creation to the organization’s defined completion event. Use the metric with the stage times below so teams can see where delay accumulated.

Time in Waiting States. Track waiting on resident, access, part, approval, vendor, specialist, information, or follow up. This separates repair time from coordination time and reveals which delays the operating model can change.

Backlog Volume and Age. Volume alone can look stable while old work continues to age. Group backlog into age bands and review priority, property, status, and owner. The oldest work often requires a different intervention from today’s new queue.

First Visit Completion. Measure the percentage of work resolved without a return visit, while accounting for jobs that legitimately require several stages. Use it with repair quality and repeat requests so teams do not close work prematurely.

Repeat and Reopened Work. Identify related requests, callbacks, and jobs reopened after completion. Review by issue, asset, property, technician, vendor, and repair action. Repeat work is both a quality measure and a capacity cost.

Resident Communication Coverage. Track whether confirmation, scheduling, delay, and completion updates were delivered where the workflow requires them. The measure should reflect meaningful communication, not simply the number of automated messages sent.

Reassignment and Escalation. Frequent reassignment can indicate poor triage, workload imbalance, missing skill, access issues, or unclear ownership. Escalations reveal where standard workflows need support.

Technician Capacity and Work Mix. Review jobs, productive time, travel, priority mix, turn work, preventive work, overtime, and documentation. Use this to understand demand and distribution, not to create a simplistic productivity score.
