Where Work Orders Lose the Most Time

Overview

Work orders rarely lose most of their time during the repair. They lose it while waiting for the next decision, resource, piece of information, or person. The first step toward faster completion is to break the lifecycle into stages and identify where the clock is actually running.



Where Time Accumulates

Incomplete Intake. A vague request waits for clarification or reaches the technician without enough context. The result may be delayed assignment, incorrect priority, missing parts, or another visit. Improve issue specific questions, photos, access details, and emergency identification at the beginning.

Unclear Assignment. Work sits because ownership is not established, the queue is reviewed manually, or the request does not identify the skill required. Use assignment rules, acceptance tracking, capacity visibility, and escalation for unaccepted work.

Resident Access. The technician arrives without permission, a usable time window, keys, or current contact information. Capture access preference during intake, confirm appointments, and make resident communication visible in the mobile workflow.

Parts and Materials. The diagnosis may be complete while the job waits for a part, purchase, delivery, or second trip. Connect asset model, previous parts, inventory, procurement, expected date, and ownership to the work order.

Approval. Estimates, replacements, vendor work, and spending can remain idle when the approver lacks context or the request has no escalation. Provide evidence, cost, asset history, resident impact, and schedule risk in one approval workflow.

Vendor Coordination. The job may wait for assignment, acceptance, access, estimate, completion evidence, or invoice reconciliation. Track each vendor stage and compare performance by work type.

Follow Up and Specialist Support. A technician may need a supervisor, specialist, second trade, or return visit. If the next action is not created and owned, the work remains open without movement. Make dependencies and handoffs explicit.

Closeout. Physical work can be complete while notes, photos, resident communication, approval, or status remain unfinished. Design closeout to capture the evidence needed for the job without making every task unnecessarily complex.

Repeat Work. A closed work order that returns is another form of delay. The resident experiences the full time across both requests, not the speed of the first close. Track related requests and asset history to measure durable resolution.

Find the Bottleneck in the Data

Measure time in each stage and waiting status. Segment by priority, property, work type, asset, technician, and vendor. Then review the actual jobs behind the outliers. SuiteSpot makes every stage, owner, delay, and next action visible across the maintenance workflow.
