What 50,000 Unit Turns Reveal About Vacancy Loss

A large unit turn dataset makes one point clear: vacancy loss is not created by one task. It accumulates across the full path from notice and possession to official readiness. The most valuable analysis separates where teams are working from where the unit is waiting.



Seven Patterns in the Data

Finding 1: The Clock Often Starts Before the Work

Operators may know that a unit is becoming vacant while inspection planning, vendor scheduling, and material preparation begin only after move out. That unused notice period can create a late start that never appears as an overdue task. Measuring notice to first action makes the opportunity visible.

Finding 2: Waiting Can Exceed Active Work

A turn may spend more calendar time waiting on scope, approval, part, vendor, next trade, or final inspection than receiving physical work. This is why asking each trade to work faster may have limited effect. The workflow between trades often controls the ready date.

A failed final inspection or work order shortly after move in can erase the time saved by a rushed turn. The strongest turn measurement includes rework, failed quality checks, and post move in issues related to the make ready scope.

Finding 6: Physical Completion and Leasing Readiness Are Different Events

A unit may be finished but not officially released because of inspection, documentation, keys, system updates, or handoff. Measuring this gap prevents vacancy time from disappearing between departments.

Finding 7: Portfolio Averages Need Segmentation

Heavy turns, light turns, renovations, property types, markets, vendor models, and asset condition should not be combined without context. Useful benchmarks compare like work and then investigate the outliers.

Calculate daily rental value for avoidable days beyond the target, then add supported costs such as vendor premiums, overtime, rework, and rescheduling. The result should explain where the operation can change the outcome, not assign every vacant day to maintenance.
