Multifamily Maintenance Software RFP Checklist

Overview

A multifamily maintenance software RFP should reveal how a platform will operate inside the business, not simply confirm that it has a list of features. The most useful questions follow real work from beginning to end. They test whether the software can support the portfolio’s operating model, connect with existing systems, earn technician adoption, and produce measurable improvement. Use the checklist below as a starting point, then adapt it to the organization’s properties, staffing structure, governance, and goals.



RFP Requirements

1. Company and Platform Fit.
Ask the provider to describe the portfolios it is designed to support, including unit counts, property types, ownership structures, and staffing models.

· Is the platform purpose built for multifamily maintenance?

· Can it support several portfolios, regions, ownership groups, and property types?

· How does the architecture scale as units, users, workflows, and data volume grow?

· Which capabilities are native, and which depend on third party tools?

2. Resident Requests and Communication.
The RFP should test how requests enter the system and how communication remains connected to the work.

· Which channels are supported, including phone, chat, web, mobile, and staff entry?

· How are emergency conditions identified and escalated?

· Can the system gather issue specific details, access preferences, photos, and language preferences?

· Are confirmations, scheduling updates, status changes, and completion messages automated and auditable?

3. Work Orders and Workforce Orchestration

· Can work be prioritized and assigned by urgency, skills, location, workload, availability, and business rules?

· Does the platform support property technicians, mobile teams, regional specialists, and vendors?

· Can supervisors rebalance workloads and identify stalled or aging work?

· What context is available to technicians before and during the visit?

4. Unit Turns, Inspections, and Preventive Maintenance

· Are unit turns managed as milestone based workflows with dependencies and ready dates?

· Can inspection findings create work orders, approvals, or follow up inspections?

· Can recurring preventive work be scheduled, assigned, documented, and reported across the portfolio?

· How are quality checks, chargebacks, compliance records, and supporting evidence handled?

5. Assets, Vendors, and Procurement

· Does each asset maintain repair, warranty, inspection, cost, and replacement history?

· Can the system support repair or replace decisions and capital planning?

· How are vendors assigned, approved, measured, and paid?

· Can parts, purchase orders, invoices, and work orders remain connected?

6. Reporting and Data

· Which KPIs are available by property, region, portfolio, role, job type, asset, technician, and vendor?

· Can users move from a dashboard metric into the underlying workflow?

· How are definitions standardized across the organization?

· What data exports, APIs, warehouse connections, and audit trails are available?

7. Integrations, Security, and Governance

· Which property management systems and enterprise tools are supported?

· Is synchronization one way or two way, and how are failures monitored?

· Does the platform support SSO, role based access, configurable permissions, and audit logs?

· Which security certifications, controls, backup processes, and data residency options apply?

8. AI and Automation.
Avoid a generic question such as “Does the platform have AI?” Ask what it can do.

· Can AI handle resident conversations and create complete work orders?

· Can it identify urgency, surface repeat issues, provide guidance, recommend actions, or escalate risk?

· Which actions can an operator approve, restrict, or audit?

· How is customer data used, protected, and separated?

9. Implementation and Adoption

· Who owns configuration, integrations, data migration, testing, and training?

· Does the provider recommend a pilot and phased rollout?

· How will technician, supervisor, and property team adoption be measured?

· What support and optimization continue after launch?

10. Outcomes and Commercial Model.
Ask the provider to connect capabilities to outcomes such as work order speed, turn time, administrative effort, resident communication, compliance, labor utilization, and cost visibility. The pricing model should also be clear. Confirm implementation costs, integration fees, support, AI usage, data access, additional modules, and future expansion.

Written responses are only the first step. Invite finalists to demonstrate complete scenarios using the organization’s workflows and data structure.
