Make Ready Board Software: Digital Visibility for Every Unit Turn

A make ready board gives teams a shared view of every active unit turn. The digital version should do more than reproduce a whiteboard on a screen. A useful board connects the visible status to the work, people, dates, evidence, and decisions behind it.



What the Board Should Answer

At a glance, a property or regional leader should be able to answer:

· Which units are turning?

· What stage is each unit in?

· Which task controls the ready date?

· What is delayed and why?

· Who owns the next action?

· Which units are at risk?

· Which units have passed final quality control?

If the board cannot answer those questions without opening several other systems, it is only a display layer.

Design the Stages Around the Real Process

The board should reflect meaningful milestones such as notice, move out, inspection, scope, work in progress, vendor work, quality control, and ready. Avoid broad stages that hide waiting. A unit listed as “in progress” may actually be waiting on an approval, part, vendor, or inspection. Those conditions should be visible because they require different actions.

Connect the Card to the Turn Record

Each unit card should open the complete turn, including scope, tasks, dates, owners, vendors, approvals, photos, costs, and communication. Updates made by technicians, vendors, inspectors, or property teams should change the board automatically. No one should maintain a separate tracker to keep the board current.

Show Risk, Not Just Status

The system should identify units with late starts, overdue critical tasks, missing assignments, failed inspections, approval delays, or ready dates that no longer appear achievable. Risk indicators help leaders focus on the turns that need intervention instead of reviewing every normal unit equally.

Support Different Views

A property manager may need a board for one community. A regional leader may need every turn across a market. An executive may need portfolio trends and exposure. The same data should support those views without creating separate boards that drift apart.

Preserve History

A physical board shows the current state but rarely explains how the unit got there. Digital make ready board software should preserve changes, delay reasons, ownership, and timestamps. That history makes performance analysis possible. Operators can identify where turns start late, which dependencies fail most often, and whether delays are driven by process, capacity, vendors, or scope.

Use the Board to Drive the Daily Conversation

A good board shortens meetings because the facts are already visible. Teams can focus on exceptions, decisions, and resource conflicts rather than collecting status updates. The board should be the current expression of the workflow, not a presentation prepared for the meeting.
