AI is the next layer in a maturity progression that begins with visible, standardized maintenance operations. Operators that skip the foundation may add an impressive interface without changing the way work gets done. Operators that build in sequence can use AI to create real capacity.

## **From Digitization to Agency**

### **Stage One: Digitize the Work**

The first step is replacing paper, disconnected spreadsheets, and undocumented communication with a reliable record of requests, work orders, turns, inspections, assets, vendors, and outcomes. Digitization makes work visible. It does not automatically make the process consistent or efficient.

### **Stage Two: Standardize the Workflow**

Operators then define priorities, assignments, statuses, approvals, required evidence, escalation, communication, and completion standards. A standardized workflow reduces variation and creates data that can be compared across properties. It also makes exceptions easier to recognize.

### **Stage Three: Automate Predictable Actions**

Traditional automation handles repeatable events. It can assign tasks, send reminders, update residents, create recurring work, route approvals, and escalate overdue items. These rules remove manual steps from normal workflows and make the operating standard more reliable.

### **Stage Four: Add Intelligence**

Analytics and machine learning can identify patterns in backlog, turn delays, asset failures, vendor performance, technician workload, and resident requests. This moves reporting from describing the past toward identifying risk and recommending action.

### **Stage Five: Introduce Agents**

Agentic operations begin when AI can interpret a situation and perform approved work inside the process. An agent can hold a resident conversation, gather missing information, recognize urgency, create and route the work order, send updates, surface a repeat issue, or escalate when the situation falls outside its authority. An agent changes the state of the operation by creating, routing, updating, or escalating work.

## **Control Is Part of the Design**

Agentic does not mean autonomous in every decision. Operators should define permissions, confidence thresholds, approval requirements, escalation paths, and audit trails. The best model gives AI authority over routine coordination and gives people clear control over judgment, safety, spending, empathy, and exceptions.

## **The Role of the Maintenance Team Changes**

As software handles more intake, routing, updates, and information gathering, teams can spend more time on diagnosis, repair, coaching, resident recovery, quality, and process improvement. Connected systems can absorb routine coordination while property experts focus on work that requires judgment and local knowledge.
